Job Title: Admin Executive Campany: Seamec Limited Location: [Mumbai, Andheri] Fresher/experianced Job Overview: We are seeking a highly organized and detail-oriented Admin Executive to join our team in the shipping industry. The Admin Executive will support daily administrative functions, ensuring smooth operations and effective coordination of shipping and logistics activities. The ideal candidate will have strong communication skills, a proactive attitude, and an ability to work under pressure in a fast-paced environment. Key Responsibilities: 1. Documentation Management: o Prepare and process shipping documents such as bills of lading, invoices, packing lists, certificates of origin, and customs declarations. o Ensure compliance with shipping regulations, including import/export documentation and customs procedures. o Maintain and organize electronic and hard copy files for shipping and logistics records. 2. Coordination with Shipping Partners: o Liaise with shipping lines, freight forwarders, customs brokers, and other stakeholders to ensure timely shipment of goods. o Track and update shipment status, resolving any issues or delays with vendors, carriers, or customers. 3. Scheduling and Monitoring: o Coordinate the scheduling of shipments and deliveries, ensuring efficient use of resources and compliance with deadlines. o Monitor the progress of shipments, providing regular updates to internal teams and customers. 4. Customer Service Support: o Handle customer inquiries related to shipment status, documentation, and logistics services. o Provide support to the sales and operations teams to resolve customer concerns related to shipping. 5. Inventory and Supply Chain Support: o Maintain accurate records of inventory, goods in transit, and shipments arriving or departing from the warehouse. o Assist in coordinating inventory levels and logistics for efficient shipping. 6. Data Entry & Reporting: o Enter shipment and tracking data into the company’s system. o Prepare reports related to shipment performance, delays, and costs for management review. 7. General Office Administration: o Handle general office tasks, including filing, photocopying, and handling phone calls and emails. o Maintain office supplies and ensure the smooth functioning of office equipment. o Support other administrative functions as required.  Skills: o Strong knowledge of shipping procedures, documentation, and logistics operations. o Proficient in MS Office Suite (Excel, Word, Outlook). o Experience with shipping management software or ERP systems is a plus. o Strong communication skills (verbal and written) to interact with internal teams and external partners. o Detail-oriented with excellent organizational skills. o Ability to multitask and prioritize effectively in a dynamic environment. o Strong problem-solving skills and ability to work under pressure
