Job Description:

Key Responsibilities:

1. Front Desk Operations:

  • Greet and welcome guests, clients, and employees with a positive attitude.
  • Answer and direct phone calls, emails, and inquiries professionally and promptly.
  • Manage the visitor logbook and issue visitor passes as necessary.

2. Administrative Support:

  • Schedule appointments and meetings for staff and executives.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain a tidy and organized reception area.
  • Order and manage office supplies inventory.

3. Communication and Coordination:

  • Coordinate with various departments to ensure smooth office operations.
  • Handle general inquiries and redirect specific queries to appropriate departments.
  • Assist in preparing reports, presentations, or correspondence as needed.

4. Customer Service:

  • Provide basic information about the company, its services, and policies.
  • Address complaints and escalate issues to the relevant manager when necessary.

Qualifications:

  • Education: High school diploma or equivalent; additional training in office management is a plus.
  • Experience: Previous experience in a receptionist, front desk, or customer service role is preferred.
  • Skills:
    • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
    • Excellent verbal and written communication skills.
    • Strong organizational and multitasking abilities.
    • Friendly and professional demeanor.
