Job Description:

POSITION OBJECTIVE
Dynamic, strategic-minded individual, exceptional communication skills, a proactive approach to problem
solving, and a keen eye for detail. Reporting directly to the Director of the company, will play a pivotal role
in supporting the executive team, managing schedules, facilitating communication, and executing strategic
initiatives.
DO — Key Responsibilities
1 Serve as the Director's primary point of contact, day-to-day activities, overseeing their schedule ensuring
proper meeting arrangements and maintaining records. Managing and staying updated on emails,
prioritizing incoming communication and arranging domestic or international travels.
2 Exercise discretion in evaluating the necessity of commitments and time allocation.
3 Anticipate the Director's needs and proactively provide support to optimize their time. This includes printing out
necessary emails for effective communication, preparing required documentation, maintaining records of
contact numbers, important files, reading, researching and routing correspondence. Drafting letters and
documents, collecting and analyzing information, initiating communication where appropriate.
4 Prepare reports, presentations and conduct research to compile data supporting decision-making processes.
Additionally, transcribe source material, prepare various documents, reports, tables and charts, distributing
them as appropriate. Attending meetings, take detailed notes of discussions, and prepare the initial draft of
minutes and summaries.
5 Provides a bridge for smooth communication between the management and internal departments;
demonstrating leadership to maintain credibility, trust and support within the organization.
6 Assist in the planning, preparation and execution of special projects, events, departmental meetings,
business reviews, offsites and town halls, ensuring effective arrangement of all logistics.
7 Handle confidential information with discretion, maintaining the highest level of professionalism at all given
point in time.
8 Acts as a strategic partner to the Director, providing insights and recommendations to enhance productivity
and efficiency. Working closely and effectively to keep them well informed of upcoming commitments and
responsibilities, following up appropriately.
9 Additionally, manage ad-hoc tasks and projects as assigned by the Director, demonstrating flexibility and
adaptability.

 

10 Open to travel on important assignments to other cities as may be required
