Position Overview
We are seeking a highly motivated and experienced Executive Assistant to support
our executive team. The ideal candidate will have over 5 years of experience in an
executive support role, demonstrating a high level of professionalism,
organizational skills, and attention to detail. This position is based at our Andheri
(East), Mumbai office.
Roles and Responsibilities
Administrative Support: Provide comprehensive administrative support to
the executive team, including managing calendars, scheduling meetings, and
handling correspondence.
Communication: Act as a liaison between executives and internal/external
stakeholders, ensuring clear and timely communication.
Travel Coordination: Arrange and coordinate travel itineraries,
accommodations, and logistics for executive team members.
Documentation: Prepare, review, and manage documents, reports, and
presentations with a high degree of accuracy and professionalism.
Meeting Management: Organize and coordinate meetings, including
preparing agendas, taking minutes, and following up on action items.
Project Assistance: Assist in various projects and initiatives, ensuring
timely and effective completion of tasks.
Confidentiality: Handle sensitive information with the utmost discretion
and maintain confidentiality at all times.
Office Management: Support office management tasks as needed, including
supply inventory, maintenance coordination, and vendor management.
Event Planning: Assist in planning and organizing company events,
meetings, and conferences.
Ad-hoc Tasks: Perform other duties and special projects as assigned by the
executive team.
Qualifications
Bachelor’s degree in Business Administration, Management, or a related
field.
Minimum of 5 years of experience as an Executive Assistant or in a similar
role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Ability to work independently and collaboratively in a fast-paced
environment.
High level of professionalism and discretion.
Strong problem-solving skills and attention to detail.
Experience in the oil and gas or maritime industry is a plus.
