Job Description:

JD -Administrative Officer

Key Responsibilities:

  1. Administrative Support:
    • Manage day-to-day administrative tasks, including scheduling meetings, coordinating travel, and handling correspondence.
    • Organize and maintain files, both electronic and paper, related to projects and office operations
    • Oversee daily administrative tasks, including scheduling meetings, managing                    correspondence, and maintaining organized files.
    • Prepare and distribute reports, memos, and other documentation related to ongoing projects.
  2. Project Coordination:
    • Assist in the planning and execution of modular office furniture projects, ensuring timelines and deliverables are met.
    • Track project progress and report updates to management and relevant stakeholders.
    • Assist in planning and coordinating fabrication projects, ensuring adherence to timelines and specifications.
    •  Monitor project progress and provide regular updates to project managers and stakeholders.
  3. Customer Communication:
    • Act as a liaison between clients, suppliers, and internal teams, addressing inquiries and facilitating communication.
    • Prepare and send quotations, proposals, and contracts to clients, ensuring all documentation is accurate.
    • Serve as a key point of contact for internal teams, clients, and subcontractors, facilitating effective communication.
    •  Prepare and send project proposals, contracts, and invoices, ensuring all documentation is accurate and timely.
  4. Inventory Management:
    • Assist in managing inventory levels for materials and supplies related to office furniture production.
    • Coordinate with suppliers to ensure timely delivery of materials needed for ongoing projects.
    • Support inventory management by tracking material supplies and coordinating with suppliers to ensure timely procurement.
    • Assist in preparing purchase orders and managing vendor relationships.
  5. Financial Administration:
    • Support the finance team by processing invoices, tracking expenses, and assisting in budget preparation for projects.
    • Maintain accurate records of financial transactions related to office furniture sales and procurement.
    • Help manage project budgets by tracking expenses and processing invoices.
    •  Collaborate with the finance team to ensure financial accuracy and compliance.
  6. Quality Control:
    • Ensure that all administrative documentation meets quality standards and adheres to company policies.
    • Assist in coordinating quality assurance checks on finished products before delivery.
    • Assist in maintaining quality standards for fabrication processes and documentation.
    • Coordinate quality inspections and ensure compliance with industry regulations and safety standards.
  7. Health and Safety Compliance:
    • Promote safety standards within the office and production areas, assisting in training and compliance efforts.Keep records of safety protocols and training sessions.
    • Promote adherence to health and safety protocols within the workplace.
    • Assist in organizing safety training sessions and maintaining safety records.

8.Government Relations:

    • Act as the primary point of contact for government agencies, addressing inquiries and providing necessary documentation.
    • Develop and maintain positive relationships with local, state, and federal officials.

Regulatory Compliance:

    • Monitor and ensure compliance with relevant laws, regulations, and industry standards.
    • Assist in the preparation of reports and submissions required by government entities.

Project Coordination:

    • Collaborate with project managers to ensure alignment with government requirements and facilitate necessary permits and approvals.
    • Support the development and submission of grant applications and proposals for government-funded projects.

Communication Management:

    • Prepare and distribute communication materials, including briefing documents, reports, and presentations for government meetings.
    • Organize and attend meetings with government officials and stakeholders, taking minutes and tracking action items.

Policy Analysis:

    • Stay informed about relevant policy changes and government initiatives that may impact the organization.
    • Provide insights and recommendations to senior management regarding regulatory changes.

Administrative Support:

    • Manage the administrative tasks associated with government liaison activities, including scheduling meetings, maintaining files, and tracking deadlines.
    • Assist in developing and implementing processes to improve communication and efficiency with government entities.
