The Executive
Assistant (EA) to the CEO will provide high-level strategic and
administrative support, ensuring smooth business operations. The ideal
candidate, with a defense background, will bring a strong sense of
discipline, organizational skills, confidentiality, and strategic thinking. The
EA will act as a trusted advisor, managing schedules, communication, and
high-priority projects while ensuring seamless coordination between the CEO and
various stakeholders.
Key Responsibilities
1. Strategic & Executive Support
Assist the CEO in
decision-making by conducting research, preparing reports, and analyzing
key business data.
Act as a liaison between the
CEO and internal/external stakeholders.
Ensure timely execution of
strategic initiatives and follow-up on key action items.
Draft speeches,
presentations, and high-level reports for board meetings, investor
discussions, and corporate events.
2. Calendar & Task Management
Manage and optimize the
CEO’s schedule, ensuring efficient time allocation for meetings, events,
and travel.
Prioritize and coordinate
appointments, ensuring alignment with business priorities.
Handle confidential and
time-sensitive information with discretion.
3. Communication & Stakeholder Management
Serve as a key point of
contact between the CEO and senior executives, government agencies,
corporate clients, and other stakeholders.
Draft emails,
correspondence, and executive briefings on behalf of the CEO.
Ensure effective
communication within the organization, aligning leadership teams with the
CEO’s vision.
4. Project & Operations Management
Oversee special projects,
ensuring timely execution and reporting progress to the CEO.
Coordinate with various
departments to track and implement strategic business plans.
Maintain detailed records of
key business decisions, minutes of meetings, and follow-up actions.
5. Travel & Event Coordination
Plan and manage all travel
arrangements (domestic and international), ensuring smooth logistics and
itinerary planning.
Organize high-profile
business meetings, conferences, and corporate events.
Ensure security protocols
and risk assessment for travel, leveraging defense experience for
strategic planning.
6. Confidentiality & Compliance
Handle sensitive information
with utmost discretion, maintaining confidentiality in all matters.
Ensure adherence to company
policies, legal requirements, and corporate governance frameworks.
Maintain security awareness,
leveraging defense expertise to protect business interests.
Key Requirements
1. Experience & Skills
5+ years of experience as an
Executive Assistant, Chief of Staff, or in a strategic advisory role.
Defense background
(Ex-Serviceman/Retired Officer preferred) with experience in
high-stakes decision-making environments.
Strong organizational,
multitasking, and problem-solving abilities.
Excellent communication,
negotiation, and interpersonal skills.
Proficiency in MS Office
(Excel, PowerPoint, Word) and business management tools.
Ability to work under
pressure, demonstrating leadership and discretion.
2. Education & Qualifications
Bachelor’s/Master’s degree
in Business Administration, Management, or a related field.
Certification in Executive
Leadership, Strategic Management, or Project Management (PMP) is a plus.
3. Additional Skills
High level of discipline,
integrity, and confidentiality, leveraging defense experience in
corporate settings.
Strong ability to anticipate
