KEY RESPONSIBILITIES:

 

• A Senior Admin Executive typically manages and coordinates a wide range of administrative functions within an organization, ensuring efficient operations and supporting executives and staff. This includes overseeing office management, facilities, procurement, and general administrative tasks, with a focus on maintaining a productive and organized workplace environment.

 

KEY RESPONSIBILITIES:

 

Office Management: Overseeing day-to-day office operations, including facilities maintenance, office supplies, and general upkeep.

 

Expense Management: Knowledge of Petty cash & Pan India office rent & expenses

 

Procurement: Managing the procurement of goods and services for the office, negotiating with vendors, and ensuring timely delivery.

 

Scheduling and Coordination: Managing schedules, coordinating meetings, and arranging travel arrangements.

 

Document Management: Maintaining and organizing electronic and physical documents, ensuring compliance with internal procedures.

 

HR Support: Assisting the HR department with various administrative tasks, such as employee records, onboarding, and payroll.

 

Vendor Management: Establishing and maintaining relationships with vendors, negotiating contracts, and ensuring timely payments.

 

Reporting and Analysis: Preparing reports, analyzing data, and identifying areas for improvement.

 

Policy Implementation: Ensuring compliance with company policies and procedures, providing guidance and support to staff.

 

Project Management: Assisting with project planning and execution, ensuring deadlines are met.

 

Budget Management: Managing and tracking administrative budgets, ensuring expenses are within allocated limits.

 

Employee Relations: Handling employee queries, resolving issues, and ensuring a positive work environment.

 

Special Projects: Assisting with the planning and execution of special projects and events.

 

Process Improvement: Identifying opportunities for improvement in administrative processes and implementing solutions.

 

 

Administrative Support

 

1. Oversee day-to-day administrative functions to ensure smooth office operations.

 

2. Maintain records, files, and documentation in an organized manner.

 

3. Coordinate with internal departments to support administrative needs.

 

4. Manage procurement of office supplies, equipment, and other resources.

 

5. Handle correspondence, emails, and phone calls promptly and professionally.

 

TRAVEL MANAGEMENT

 

1. Plan, coordinate, and manage travel arrangements for employees, executives, and clients

 

2. Book flights, accommodations, transportation, and visas in line with organizational budgets and policies.

 

3. Prepare detailed travel itineraries and ensure they are communicated effectively to travelers.

 

4. Handle changes, cancellations, and emergencies related to travel plans.

 

5. Ensure compliance with travel policies, including cost-effective planning.

 

SKILLS AND QUALIFICATIONS:

 

Strong organizational skills: Ability to manage multiple tasks and prioritize effectively.

Excellent communication skills: Ability to communicate effectively with all levels of staff and management.

Proficiency in Microsoft Office Suite: Strong skills in Word, Excel, PowerPoint, and Outlook.

Problem-solving skills: Ability to identify and resolve issues, make decisions, and implement solutions.

Experience in administrative functions: Prior experience in administrative roles, preferably in a corporate environment.

Bachelor's degree or equivalent experience: A bachelor's degree is often preferred, but relevant experience can be a substitute.

Proficiency in MS Office and travel booking tools.

Strong communication and negotiation skills.

Familiarity with visa processing and international travel requirements.

Attention to detail and the ability to handle confidential information.

Ability to work under pressure and meet tight deadlines.

 

PREFERRED QUALIFICATIONS:

 

1. Experience in managing travel for large teams or organizations.

2. Knowledge of travel management software.

3. Previous experience in cost optimization and vendor management.
