Job Summary:
We are looking for an organized and enthusiastic Front Desk Executive to manage the front office operations. The ideal candidate will have 3-5 years of experience in a front desk or receptionist role and will be responsible for providing exceptional customer service, managing calls, and maintaining the smooth flow of office operations.
Key Responsibilities:
 Front Desk Operations: Greet and assist visitors, clients, and guests with professionalism and courtesy.
 Phone Management: Answer incoming calls, direct them to the appropriate departments, and handle inquiries with accuracy and professionalism.
 Appointment Scheduling: Coordinate and schedule appointments for clients, ensuring that all appointments are logged and confirmed.
 Customer Support: Address customer queries, complaints, and concerns promptly and escalate issues to the appropriate departments when needed.
 Admin Support: Assist with day-to-day administrative tasks including data entry, document management, and filing.
 Office Supplies Management: Ensure the front desk and office areas are well-stocked with necessary supplies and maintain inventory.
 Managing Emails: Handle and respond to general inquiries through email in a timely manner.
 Maintain Visitor Logs: Keep track of all visitors and ensure they follow security and office protocols.
 Coordination with Departments: Support HR, Sales, and other departments as needed for smooth communication and coordination.
Qualifications:
 Minimum 3-5 years of experience in a front desk or receptionist role, preferably in a corporate or hospitality setting.
 Strong communication skills, both verbal and written.
 Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
 Excellent organizational and multitasking skills.
 Professional appearance and a pleasant, courteous demeanor.
 Ability to handle confidential information with discretion.
 Strong problem-solving abilities and a positive attitude.
 Ability to work independently as well as in a team.
Preferred Skills:
 Knowledge of basic office management procedures.
 Familiarity with office equipment (printers, fax machines, etc.).
 Experience with CRM software and scheduling tools.
 Multilingual capabilities are a plus.
